How to win back an inactive client: message templates

A client who has been silent for a long time is not lost. They simply moved on to other things. The principle: write so that it is easy for the person to reply and just as easy to decline. Here are seven short texts for three situations.

Remind them of you

Simply ask how things are

Hi {Name}. It’s been a while. How are things with {topic}? If you need anything, I’m here.

Fits when: a pause of a few months and nothing has gone wrong.

Recall the past

Hi {Name}. We worked together on {topic}. I thought you might want to return to it. How does it look for you now?

Fits when: the client has already bought or discussed a serious offer.

Offer something new

Through something useful

{Name}, we now have {what is new}. I thought of you because you were interested in {topic}. If you like, I’ll tell you briefly.

Fits when: there is real news that concerns the client.

Through a question about the need

Hi {Name}. Is {topic} still relevant for you, or have your priorities changed? Tell me as it is, it will help me not to bother you needlessly.

Fits when: you need to know whether it is worth continuing at all.

Through a personal invitation

{Name}, we’d be glad to see you again. If you want to come back, write to me and I’ll prepare everything for you.

Fits when: the client left for someone else but the relationship stayed good.

Close it gently

No hard feelings

{Name}, I won’t bother you any more. If you ever need us, just write. Thank you for being with us.

Fits when: two or three earlier messages got no reply.

Leave the door open

{Name}, I’ll mark this as not relevant for now. If something changes, write at any moment and we’ll continue.

Fits when: the client replied that it’s not the time right now.

What not to write

  • “We miss you” and other forced warmth.
  • Fake urgency: “only two spots left”, “offer ends tonight”.
  • Mass identical broadcasts without a name or a reason.
  • Reproaches: “you disappeared”, “why don’t you reply”.

Someone who returns on their own stays for a long time. Someone who was chased moves further away.
